Quarterly Meetings

Quarterly Board of Director’s Meeting

The Association’s Board of Directors meet on a Quarterly schedule to address business that cannot be conducted by other means acceptable under the Texas Uniform Condominium Act (TCUA). All residents are encouraged to attend. Unless otherwise indicated, quarterly meetings of the Association are held between the hours of 6:00—8:00 PM, generally on a Tuesday evening, every September (09), December (12), March (03), and June (06) of each year. The meeting location can vary dependent on space availability.

IMPORTANT! NOTICE

In the event there is no activity requiring a quarterly meeting, the Board of Directors can elect to cancel any said meeting from time-to-time. The Texas Uniform Condominium Act (TUCA) only requires the Membership to meet Annually. All other meetings are at the discretion of the Association Management Team. If you need to approach the Board of Directors regarding a personal request, simply contact the Management Company and we will schedule a special meeting.


Resident’s Forum

Resident Have The Floor

The first fifteen (15) minutes of each meeting, other than the Annual meeting, is allocated to any resident who would like to ask questions or voice concerns. Each individual is give three (3) minutes to speak. Anyone arriving late will forfeit this opportunity. If questions or concerns are related to personal business of a Member, we will hold those items for the Executive Session out of respect and privacy. The Executive Session will only include the Association Directors, Managing Agent, and the individual Member if applicable.


Annual Meetings

Annual Meeting of the Membership

The Association’s Membership meets annually to review accomplishments from the previous year; discuss special assessment needs if applicable; to elect Association Directors as required by under the Texas Uniform Condominium Act (TCUA). The Association President along with the other Directors will provide a presentation as outlined in the distributed agenda. Unless otherwise indicated, the Annual meeting of Membership is held between the hours of 10:30AM—12:30PM (NOON) generally on a Saturday morning, in late July (7) or early August (08).

Question & Answer Session

There is a Questions & Answer session at the end of the presentation allowing the Membership the opportunity to discuss questions and concerns that were not covered. This session is not for concerns of personal nature. Please contact the Association directly to discuss Member (Unit) related issues.

Post Executive Meeting of the Directors

The Association Directors will have a thirty (30) minute Executive meeting directly after the annual meeting adjourns to elect Director roles, tend to any emergency business, and address Member (Unit) questions or concerns.


Meeting Notifications

Meeting Notifications (General)

As required by the Texas Uniform Condominium Act (TUCA), all meeting notifications are sent ten (10) business days prior to the meeting date to all Members in the same manner. Though not required by law, you should also expect a telephone broadcast message reminder two (2) days before all meeting.

Annual Meeting of the Membership Notifications

The Annual meeting notifications are sent thirty (30) days prior to the date of the meeting to all Members in the same manner. Meeting notifications are sent as a standard form letter stating the date, time, and location information of the meeting. Though not required by law, you should also expect a telephone broadcast message reminder two (2) days before all meeting.

Mailing Address Determination

All meeting notification will be mailed to the address on file based on the following order:

  • Offsite Address provided to the Association by the Member
  • The Member’s 606 Marshall St. Unit’s address

Request Made By Membership

The Association will call a special meeting of the Membership under two conditions:

  • At least 40% of the Membership petitions in writing for the Membership to gather
  • Three (3) or more Directors request a meeting of the Membership to gather

The Board of Directors will call a special meeting with a Member(s) under the following conditions:

  • An Modification Request was received by the Association and requires discussion
  • A Notice and An Opportunity to Be Heard was requested by a Member

Notice and An Opportunity to Be Heard

Pursuant the Texas Uniform Condominium Act (TUCA), the State of Texas affords every citizen the right to request notice and an opportunity to be heard. If you want to request notice and an opportunity to be heard, please contact the property management company in a manner suitable to you to schedule a special meeting before the Board of Directors.

All Directors are required to attend this special meeting. As outline in the Texas Uniform Condominium Act (TUCA), all parties must be given proper notice of time, date, and location of said meeting in the same manner ten (10) business days prior to the meeting date.

Meeting Minutes

As required by the Texas Uniform Condominium Act (TUCA), all meeting are recorded by the Association’s Secretary or the management company. You can view the meeting minutes at any time.

To request a viewing session of the meeting minutes, please contact the Property Management company—in a manner suitable to you—to schedule a time to come to their office and view the documents. Copies of these documents are not provided, however, an outline of agenda items can be provided in writing.
